Privacy, in plain English

No legal degree required. Here's exactly what we collect, what we don't, and why.

When you scan a tag

You scan the QR code on a broken machine and report the problem. Here's what happens to your data:

  • Reporting is anonymous. No name, no sign-in, no download. We genuinely don't know who you are when you scan.
  • What you type is public on that tag. Your description appears under "Known issues" for anyone who scans the same machine, and it goes to your gym's staff. Describe the equipment, not yourself: don't put your name, your phone number, or anything private in the box.
  • Photos go to your gym, not to the scan page. If you attach a photo it's delivered to your gym's dashboard with the report. It isn't shown to other members who scan.
  • Optional email, one message, then deleted. If your gym offers resolution notifications and you enter an email, it's tied only to that one issue and used for that one message. We delete it within 30 days of sending, or within 90 days if the issue closes and the message never goes out. The unsubscribe link deletes it immediately. You get nothing else from us, ever.
  • A device identifier prevents spam. We generate a hashed fingerprint from generic browser properties (screen size, timezone, language) to cap reports at 10 per device per day. It isn't tied to any account and can't identify you on its own. Fingerprints from scan visits are deleted after 90 days; the fingerprint saved with a report you actually submit stays with that report so your gym can manage it.
  • Issue text is checked by AI. Report descriptions are reviewed by an automated moderation system to catch spam and off-topic content. Only the text is sent, nothing about you.
  • No tracking, no ads. The reporting page sets one short-lived technical cookie (gone after 5 minutes) to carry the tag you scanned while the page loads. No tracking or advertising cookies, no analytics on scan pages, no cross-site tracking, no data sold, no ads of any kind.

If you run a gym on FixTag

You create an account, and we hold what you put in it: your locations, equipment, issue reports, and team. Your gym's data is separated from every other gym's at the database level, and only your team can see it. We don't sell it, share it with advertisers, or monetize it in any way. You can export or delete all of it at any time by emailing support@getfixtag.com. The full detail, including the AI features, billing, and error tracking, is in the full privacy policy.

If you fill out a form on this website

The contact, demo, sample kit, and referral forms collect what you type so we can respond, ship your kit, and follow up on the request you made. We don't sell it, we don't hand it to advertisers, and we'll delete it if you ask.

Who else sees this data

We use a small number of US-based services to run FixTag, and each one only receives what it needs to do its job. The ones that touch member reports are our database provider, which stores them, our email service, which delivers notifications, and our AI service, which reads issue text for moderation. The full list, with company names and their privacy policies, is in the full privacy policy. We don't transfer data outside the United States.

Your rights

If you reported an issue and gave us an email address, the unsubscribe link in that email deletes your address immediately, and you can email support@getfixtag.com to ask us to delete a report you submitted.

If you have a FixTag account, you can ask us to access, correct, export, or delete your data at any time, and account deletion removes all associated business data. California residents have additional rights under the CCPA, detailed in the full privacy policy.

Text messages

Gym staff who turn on text alerts inside FixTag give us their mobile number for that one purpose. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All of the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties. Message frequency varies, message and data rates may apply, and you can reply STOP to unsubscribe or HELP for help at any time. The complete terms are in the full privacy policy.
